Staff members
The Directory is your server’s team sheet: who is on staff, at what grade, since when, and how active they are.
Four key figures open the page, and each leads to the matching tab: Team (with tutors and suspended members), Active warnings (and how many members are close to the threshold), Activity drop this week and Ongoing polls (and the ones you have not voted in). The tabs carry their counters too.
Members tab
Section titled “Members tab”The directory is a table: member, grade, Hierarchies, Warnings (with a gauge that fills up towards the demotion threshold), activity and Actions.
- Search a staff member filters by name.
- The filter switches between All, Active, Suspended, Tutors and Warned, with their counters.
- Sort by Grade, Name, Tenure or Activity.
Adding a member
Section titled “Adding a member”Click Add a member
The form opens.
Point to the Discord user
The field accepts a mention, a username or a Discord ID; the ID fills in automatically.
Pick the global grade
And, if needed, tick Create a tutoring to start a supervised trial period right away.
Importing from Discord
Section titled “Importing from Discord”The Import button adds every holder of a Discord role to a hierarchy at once, at a chosen target grade. Kotbo then shows how many members were scanned, imported and skipped (already there).
Acting on a member
Section titled “Acting on a member”Promote and Demote always stay visible on the row; Kotbo warns when the maximum or minimum grade is reached. The … menu holds the rest:
| Action | Effect |
|---|---|
| Warn | An internal warning, which counts towards automatic demotion. |
| Designate as Tutor / Remove tutor status | Makes the member eligible to supervise an apprentice. |
| Manage hierarchies | Links the member to secondary hierarchies, each with its own grade. |
| Suspend / Reinstate | Keeps the grade and history, but cuts staff permissions. Reversible at any time. |
| Blacklist | Removes from staff and blocks any return (see Discipline). |
| Dismiss | Removes the member from staff. |
Before dismissing a member, Kotbo spells out what the removal affects: their grade and rankings.
A staff member’s case file
Section titled “A staff member’s case file”Clicking a member opens their usual case file, with an extra Staff tab: when they joined the staff and their current grade, At a glance (messages, voice, sanctions issued, progression score, 7-day pace, tenure), Hierarchies, History and Discipline, which recalls the demotion and blacklist thresholds. The Promote, Demote and Warn buttons are there too.
Org Chart tab
Section titled “Org Chart tab”The org chart draws the hierarchies and their leads. Each block shows the Global Staff Head, the hierarchy Heads and the role Leads.
Until a hierarchy exists, Kotbo invites you to create one and assign roles to it.
Leadership tab
Section titled “Leadership tab”This view follows the team’s activity.
- Activity drop this week lists at the top the members whose pace is falling.
- Activity Comparison: each member’s messages per day, the month’s average in grey and the week’s in colour.
- The Average score, Week vs month, Members tracked and Declining figures.
- Activity per member: score, 30d Average, 7d Average and status, sortable by Alerts first, Score or Activity. A member whose activity collapses is marked INACTIVITY DETECTED; the others are Steady.
Until the team has a few days of activity, the tab says so.
Permissions tab
Section titled “Permissions tab”Two settings control who sees what:
- Staff Directory: access to the list of staff members.
- Hierarchy & Roles: access to managing staff roles and hierarchy.
Global configuration
Section titled “Global configuration”The Global Configuration block on the Staff roles tab carries the team-wide settings:
- Base Staff Role and Trial Staff Role.
- Meeting announcement channel and Meeting voice / conference channel.
- Staff announcements channel.
